SYSTRA are looking to expand our Signature Team in the UK, working on high profile infrastructure projects such as Crossrail and HS2, we are building on our 50 years of success in the UK by growing our team and looking for passionate people to deliver projects across our portfolio.

 

We are now seeking to strengthen and grow our Engineering team in London, by recruiting an experienced Document Controller.

 

The ideal candidate will be able to demonstrate a range of experience within the Civil Engineering/Transportation/Infrastructure sectors.

The role

 

 

To support the project team, supply chain and others to manage documentation and implement the systems to ensure information is adequately controlled and shared.

 

 

Main Duties

 

  • Develop and maintain an understanding of the requirements relevant to document control
  • Provide appropriate input to the development, documentation and ongoing maintenance of the Information Management Plan and Document Control Plan (and corresponding procedures) to meet relevant requirements (including ISO 9001)
  • Provide appropriate input and support for development and ongoing maintenance of other plans & procedures
  • Contribute to ensuring appropriate mechanisms are in place to track and monitor performance
  • Contribute to the development, establishment, and implementation of mechanisms to effectively communicate requirements and corresponding information management / document control management systems; provide ongoing consulting, expertise, direction, and support to members of the project team, suppliers, and others
  • Contribute to the setup of systems relevant to Information Management and Document Control.  For example, this may include administration tasks such as adding users, establishing metadata fields, and creating workflows.
  • Assist with production and delivery of training relevant to information management and document control systems and management procedures.
  • Support the QCAH Manager and Document Control Manager to ensure a specific, relevant, and comprehensive set of subcontract requirements relevant to information management / document control have been incorporated within each tender package.
  • Provide appropriate proactive support working collaboratively with the project team, suppliers, and others to ensure information management and document control systems are effectively implemented.
  • Work collaboratively with the Project Team, suppliers, and other interested parties to maintain a system of progressive assurance for the works.  For example, this may include checking / compiling assurance ‘packs’ for issue to relevant parties.
  • Support handover processes.  For example, this may include assisting with production of Operating & Maintenance Manuals and Health & Safety Files.
  • Assist with enforcement of the Document Control and Information Management systems at all levels
  • Scanning, plotting, printing and any other duties that will help support the team.
  • Understand what BIM is, the contextual requirement for BIM Level 2, its connection to the Government Construction Strategy and Industrial Strategy 2025 and relevance to the project.  Work collaboratively with the BIM team as applicable.

 

Experience

 

  • Substantial practical experience of document control support in a relevant business environment, ideally in Construction or Engineering
  • Maintains a strong sense of personal ownership relevant to the role, seeks to add value to their function, and maintains a ‘make it happen’ approach
  • Ability to build strong relationships with the project team members, suppliers, client representatives, and other stakeholders
  • Experience of building and implementing management frameworks, monitoring their use, and maintaining / improving
  • Ability to gather, analyse and evaluate facts, make appropriate judgements, and act accordingly without undue delay
  • Knowledge of the sector and experience within a project-based organization
