Role and responsibilities

You will hold the position of Contract Administrator & Project Cost Controller within SYSTRA Canada. You will report to the Executive Vice President, Rolling Stock. You will perform project purchasing, assist the Project Manager in planning, monitoring, and controlling budgets, coordinate and prepare client invoicing.

  • Monitor and review project team timesheets and expenses charged to projects;
  • Set up budget control points and appropriate documentation;
  • Receive and analyze progress reports against budgeted expenses;
  • Preparation of variance reports and implementation of recommendations to mitigate project risks;
  • Assisting in the preparation of budget revisions;
  • Integration of project budget revisions into the project management tool;
  • Coordination of monthly procedures related to month-end activities (cost and revenue estimates);
  • Coordinate and consolidate departmental budget reports and forecasts, as well as presentations for periodic reviews for certain projects;
  • Analysis of work in progress and preparation of invoicing to clients related to the project (time and material with cap and flat-rate);
  • Ensure compliance with internal policies and procedures, as well as company accounting standards;
  • Follow-up on accounts receivable with project managers;
  • Follow-up on the payment of supplier invoices;
  • Request bids from suppliers;
  • Obtain approvals and place purchase orders with suppliers;
  • Create and issue purchase orders in the project management tool;
  • Follow-up on received and pending orders (backorders);
  • Other related tasks and analysis.


Internal Relations: Finance and Accounting team, as well as the Projects team.

External relations: Clients and suppliers.




Education: Bachelor's degree in administration or equivalent training.


Years of experience: 5 to 10 years experience in a similar position in project management.


Technical competencies:

  • Knowledge in the technical field of transportation (an asset);


Personal & soft skills:   

  • French and English, written and spoken.
  • Excellent knowledge of the Office suite (Word, Excel and PowerPoint);
  • Proficiency with MS Project (an asset);
  • Ability to express oneself and to communicate;
  • Ability to work in a team.
