Position:  Document Controller


Overall Responsibilities (purpose and objectives):  sending, receiving, distributing, circulating, tracking, expediting and archiving all official project documents to, from and within the company/project.

Specific Responsibilities/Tasks:

  • Create and maintain Document Management Systems including library distributions and participant matrix.
  • Ensure document control function is being performed and track in accordance with corporate procedures and project requirements in a timely and efficient manner
  • Facilitate flow of information and communication between clients, vendors, subcontractors and staff; for various projects
  • Organize necessary filing and archiving of technical documents
  • Assist in the coordination of documentation processes.
  • Manage and maintain templates


Internal and External Relationships:

Internal:  Communicate with all Systra Canada employees under specific project responsibilities

External:  Address distribution and follow-up of communication to clients representative, suppliers as well as external consultants, all as per approval form Project responsible


Education (minimum and desired):  Diploma/CED in administration, with a specific training and experience in document control specialities


Experience (minimum and desired):  Minimum of 4 eight years of experience

 Personal and Other Qualifications:

  • Excellent computer proficiency and knowledge of Microsoft 360;
  • Excellent knowledge of Office, Adobe Acrobat, Sharepoint, Projectwise, or other document control software;
  • Experience with Aconex and EDMS  (Electronic Document Management System)
  • Excellent English and French language skills; translation skills are an asset;
  • Highly organised, able to meet tight deadlines and work independently, takes initiatives;
  • Detail oriented;
  • Team player and works well under pressure;
  • Respects discretion and confidentiality.
