Job Summary

The Human Resources Coordinator participates actively in Human Resources Department’s activities. He/she pays particular attention to updating HR systems, talent acquisition and to the search for independent consultants.

  • Ensures the recruitment for SYSTRA Canada by assisting managers in recruitment.
  • Supports business development with the selection of specialized consultants for ongoing international projects or at the proposal stage.
  • Updates HR systems on a regular basis
  • Ensure the safety of employees and consultants during their international travels

 

Role and responsibilities

 

Specific Responsibilities/Task:

Human resources responsibilities:

  • Participates in staffing and recruiting several positions by selecting qualified staff.
  • Responsible for the onboarding process of new employees.
  • Responsible for the creation of new employees and in the HRIS and maintaining their files up-to-date at all times
  • Responsible for the creation of new employees in the ERP system and maintaining their files up-to-date at all times
  • Prepares and handles communication-related to employees’ joining, departure etc…
  • Answer employees' questions in relation to internal policies or human resources procedures
  • Responsible for the monitoring and updating of the personnel’s security while they travel internationally through the system in place
  • Responsible for the creation of monthly reports on various HR subjects
  • Responsible for the purchase of travel insurance
  • Participates in special projects.

 

Project related responsibilities:

  • Participate in the search for talent and ensure the conformity of their resumes to the requirements of the proposal
  • Prepares employees for international assignments by providing them with information on the country, visas, requirements, insurance coverage, etc.
  • Performs research as required for replacement of resources on current projects.
  • Assists employees throughout their assignment.
  • Ensures that fitness to work tests are completed (if applicable)

 

Training:

  • Coordinates staff training needs with managers to meet budget and to ensure compliance with ISO standards put in place.
  • Coordinates in-house training sessions.

 

Internal and External Relations:

Internal:

  • Advises and assists managers in carrying out their responsibilities.
  • Advises and assists all employees according to their needs.

External:

  • Regular contact with potential candidates and assessment of their profile.
  • Working (as required) with recruitment firms, training providers and law firms.
  • Transacts (as required) with job sites.

 

Qualifications

Education: Bachelor's degree in industrial relations, human resources, psychology, administration, or a related discipline.

 

Years of experience: Minimum of 1 year of relevant experience, preferably in the engineering/construction sector

 

Technical competencies:

  • High-level proficiency in Microsoft Office
  • Excellent written and verbal communication skills
  • Fluently in English and French, both oral and written (due to the fact that they have to collaborate with employees working in different Canadian provinces and Internationally and deal with all relevant local and international stakeholders)
  • Knowledge of HRIS systems

  • Excellent interpersonal skills and professional maturity.
  • Discreet and maintains confidentiality.
  • Client service oriented.
