We are immediately hiring for an experienced Information Coordinator to join our highly proficient team, delivering Information Management support to some of the most high-profile infrastructure design projects in the UK. The role is based from our York office but with significant opportunity for hyrbid working alongside weekly visits to the project site.

The successful candidate will be responsible for information management for a project to a high degree of reliability for security, version, visibility, availability and most importantly with a controlled reliable audit trail.

 

Main Duties:

  • Managing large volumes of incoming data in line with the company standard
  • Day to day configuration of the CDE and maintain user accounts and security groups
  • Provide training and advice to colleagues on the use of the common data environment
  • Understand and manage the processes necessary for the provision of timely appropriate document submissions and transmittals
  • Updating project document transmittal records and control logs for transmittals and receipts
  • Checking quality of documentation to ensure company standards are always adhered to
  • Performing document transmittals in line with individual project delivery plans and client requirements
  • Liaising with project engineers, project managers and clients
  • Formatting reports and spreadsheets (in both Word and Excel) to desired standard
  • Producing and collating PDFs in Adobe
  • Taking the lead within the team in relation to information management issues
  • Using Network Rail’s eB system to source records if required
  • Uploading onto other EDMS as the different projects require
  • Ensuring all proposals and bids receive the same processing as deliverables
  • Produce templates and maintain to the company standard
  • Provide support to the Project team

 

Essential Experience:

  • Experience in providing project coordination support to a team
  • Good knowledge of safety standards
  • Excellent communication skills, both written and verbal
  • Be able to communicate with tact and diplomacy. Demonstrate working communication across teams within the company to ensure delivery of projects
  • Coordinate information with other disciplines to achieve optimum design solutions
  • Motivated team player who works well under pressure
  • Proactive solution orientated approach
  • Be able to multitask
  • Take the lead in situations as they arise
  • Be able to priorities large volumes of work
  • Ability to travel to client sites and other SYSTRA offices will be required
